Description of the initiative
The purpose of the Procurement Chatbot is to provide timely, accurate, and consistent information to users regarding procurement practices and procedures. Problem statement
The Procurement team’s general inquiry mailbox is overwhelmed by repeated questions from clients, resulting in inefficient use of staff time and delays in service. Staff are required to provide similar or identical responses to common questions, which diverts resources away from more complex or value-added procurement activities. There is an opportunity to leverage technology—specifically a chatbot—to automate responses to common inquiries, thereby improving efficiency and service quality.
